IRISH PROGRAMMES OFFICER

JOB PURPOSE

This position will be responsible for assisting with the
administration of Arcadia University study abroad programmes in Dublin
under the supervision and with the support of the Resident Director.

PERSON SPECIFICATION

This position requires a graduate with:

* Three years administrative experience in a professional or
university setting with at least two years of experience managing
accounts and budgets;
* Qualification in bookkeeping/Office management and/or combination
of relevant experience, including payroll processing and reporting
* Sensitivity and an interest in working with US undergraduate
students;
* Excellent communication and interpersonal skills;
* Excellent project management skills;
* Permission to work in the Republic of Ireland.

The position desires a graduate with:

* Knowledge of Irish and US higher education systems;
* Primary degree in a relevant field; business or accounting degree
a plus
* Experience working with international students in Ireland;
* IT skills including MS Office, Great Plains, Salesforce, and SAGE;
* Understanding of financial policies and budgetary approaches in
the higher education context
* Housing or property management.

DIMENSION

This full-time position is based in Dublin. This position will report
to the Resident Director of Ireland. The position will need to become
familiar with regulations and procedures of The College of Global
Studies at Arcadia University as well as Irish university resources
and support services in order to support Arcadia University study
abroad students in Ireland. It is expected that the successful
applicant will develop their independence in the role over time, so
that they are able to work with minimal supervision following
completion of a probationary period. Candidates should be able to
demonstrate the potential for such development.

Salary: commensurate with experience

Hours: This is a full-time position with evening and weekend work
sometimes required.

JOB DESCRIPTION

FINANCE AND ACCOUNTS PAYABLE (**APPLY ON THE WEBSITE**%)

FINANCE AND ACCOUNTING ADMINISTRATION

Processing invoices

* Review and code all invoices relating to operations in Ireland,
including custom programs.
* Enter all local invoice payment batches into the University?s
payables financial system.

Disbursements and Refunds

* Initiate appropriate payments locally through direct electronic
transfer, up to a certain control limit; Prepare weekly payment list
summary and upload supporting invoices.
* Enter all disbursements into the University?s financial system.
* Arrange payments for housing deposits and track open refund
receivables.
* Administer student loans following Arcadia University procedures.

Corporate Card Reconciliations and Maintenance

* Monitor staff corporate credit cards balances to ensure staff have
enough credit to allow payments
* Collect credit card statements for all Ireland staff and send
statements to the staff for the completion of an expense report.
* Prepare a journal entry batch of expense reports.

Processing payroll

* Liaise with payroll service to prepare, review and confirm accuracy
* Report staff leave to be recorded by external accountants on
payslips; keep appropriate internal records (annual leave, sick leave,
time off in lieu).

Petty Cash

* Maintain petty cash account and report transactions following
Arcadia University procedures.

Budget Management and Compliance

* Act as the point of contact for incoming financial communications
* Support the Resident Director in the development of the Irish
Programs budget, including housing, student services, operating and
orientation budgets
* Maintain records for all expenses disbursed by the local office.
* Liaise with leadership on any permanent/legal documents.
* Provide month-end and year-end information in accordance with
month-end and year-end due dates.
* Keep accurate record of excursion spending to ensure expenses are
within the cost per student allowance and flag to Resident Director
any expenses that exceed the budgeted amount.
* Submit estimated expenses ? salaries, operating and student
service expenses - to the Controller to review and approve monthly
cash transfers.
* Support the Resident Director in contacting universities and
accommodation providers in a timely manner in order to gather
information on tuition fees, and accommodation costs, for fee
generation.
* Work with the Resident Director to assess vendor costs and
negotiate the best rates possible

HOUSING COORDINATION AND SUPPORT (**APPLY ON THE WEBSITE**%)

* Coordinate accommodation arrangements, including student housing
and faculty housing.
* Manage temporary residential property.
* Liaise with university housing providers.
* Work with the student service team in Glenside to ensure that
students are placed into campus housing or allocated to Arcadia
properties as appropriate.
* Source and reserve housing for students and faculty on custom
programmes.
* Source new student housing as required.
* Maintain database of service providers, vendors, landlords.
* Troubleshoot housing issues with students and third-party
providers.
* Liase with landlords, estate agents and maintenance crews as
required.
* Escalate student discipline issues around housing policies to the
Resident Director.

* Assist students with cultural adjustment.
* Assist with student arrivals and present at orientations.
* Attend student trips and co-curricular activities.
* Respond to incoming student enquiries.
* Advise students on solving problems.
* Maintain office schedule including partner visits and staff

service
* Liaise with International Offices, Finance Departments and
Accommodation Offices at Irish partner universities to enhance TCGS
programming and provide support for TCGS students.
