JOB TITLE: Operations Manager
LOCATION: Bray / Arklow
REPORTING TO: Chief Executive Officer
POSITION: Full time, office based. 3 days in Bray and 2 days in
Arklow.

1. JOB PURPOSE:

Living Life Counselling is a voluntary organisation providing
counselling services for people on low incomes. Founded in **Apply on
the website** Living Life Counselling has two centres in Bray and
Arklow. We deliver a vital social service which helps people cope with
difficult life issues such as bereavement, stress, depression,
separation, suicide and addiction. Counselling is provided by
volunteer counsellors who give their time to the service on a
part-time basis, working with clients from five years of age and
upwards. The Operations Manager will provide specialist expertise
which will help position LLC as a leading provider of counselling
services to our target group.

2. KEY RESPONSIBILITIES AND ACCOUNTABILITIES:

The key responsibilities in the role are:

Salesforce and Technology

* Review monthly exception reports and ensure accuracy of client and
volunteer data
* Run and prepare management reporting
* Manage all IT requests and liaise with external provider around
service delivery

Governance

* Continue to review and evolve all policy documents including the
governance code, charities regulator, health and safety, clinical, HR,
garda vetting, risk register
* Garda vetting officer for all volunteers and staff
* Standard documentation reviewed and managed into one central point

Finance, Funders and Fundraising

* Responsible for processing all invoices and assist in the monthly
payroll process
* Coordinating and managing a fundraising sub committee
* Develop and manage the implementation of appropriate fundraising
strategies
* Maintain a funder reporting calendar and ensure timely completion
of all mandatory reporting requirements
* Craft proposals that engage large funders and philanthropists to
support our work.

Communications

* Coordinating and managing a communications sub committee
* Manage content on website and social media platforms and lead on
digital engagement
* Manage a communication strategy that engages with all existing
stakeholders as well as communicating with potential funders

Management

* Managing, training and supporting the staff team.
* A strong track record of staff supervision and review.
* Any other duties as deemed appropriate by management

3. REQUIREMENTS SPECIFIC TO THIS POST:

The person appointed to this role will have management experience and
an understanding of the voluntary sector. This will be evidenced by:

* Ability to understand the strategic aims of the charity and
translate these into presentations for funders and future partners.
* In-depth knowledge of compliance and governance matters for the
charity sector.
* Strong understanding of finance and performance management
principles.
* Has experience in developing and implementing policies and
procedures.
* Strong time management, planning and multi-tasking skills.
* Effective analytical, problem solving and decision-making skills.
* Excellent communication, leadership, and inter-personal skills.
* A detailed oriented person who can demonstrate strong follow
through in their work.
* Enjoys technology and has strong computer skills, in particular
with MS Word, Excel, Outlook & Powerpoint Zoom/ Teams and CRM.
* A record of educational achievement to degree level.
* Full clean driving licence and access to a car are essential.

4. REQUIREMENTS EXPECTED OF ALL LIVING LIFE STAFF:

* Demonstrate a sound work ethic, support the mission of the Living
Life Counselling and have the ability to work within its values,
policies and procedures
* To be aware of and sensitive to the needs of clients from
disadvantaged backgrounds
* To undertake work in a manner that is friendly, flexible,
courteous and respectful
* To be discreet and aware of issues of privacy and confidentiality
* To be a team member and to participate in the efficient flow of
information to all work colleagues
* To show reasonable flexibility in relation to the hours of
attendance and to cover for absent staff members when necessary
* To contribute as appropriate to the development of policy and
procedures within the area of expertise of the position
* To be vigilant of any Health, Safety and Welfare risks in the
workplace.
