THE ROLE

As an organisation run for Students and by students, we expect the
role to maintain the ethos of the organisation in all work matters. We
are currently recruiting for a suitable person to join our team as
Finance Executive for TU Dublin SU CLG. They will work closely with
the CEO and a diverse team of elected Student Representatives as well
as within the full-time staff support.

THE ORGANISATION

TU Dublin Students? Union is unusual in Ireland in that the
operations of the Students? Union are run by a company limited by
guarantee. The company is owned by the Students of TU Dublin by virtue
of their membership of the Union.

The company does not involve itself with the Politics of the elected
representatives of the Students? Union and instead is tasked with
the operational functions of the Union including:

* Financial Management
* Human Resourcing
* Risk Management

Other administrative functions such as operational policy development
and office management.

MAIN DUTIES:

* Responsibility for the day-to-day finances of the organisation in
conjunction with the CEO
* Ensuring oversight of payment of creditors, preparing invoicing,
revenue returns, bank reconciliations, generating receipts and other
financial administration tasks
* Processing and managing fortnightly Payroll
* Manage the annual audit for the organisation
* Ensuring Revenue and any other Compliance responsibilities are
followed
* Assist in preparing budgets, projections, reports etc for the CEO,
the Finance Audit and Risk Subcommittee and the Board
* Supporting the elected Officer and Management teams in overseeing
their budgets and providing advice and guidance as necessary

ADDITIONAL DETAILS:

* Prepare monthly management accounts and presentation of these to
the Board of Directors
* Ensure that the company maintains proper books and records as
required by Company Law
* Manage the company?s Financial Affairs in line with the
company?s financial procedures
* Investigate irregularities and non-compliance issues and highlight
or escalate areas of concern to the CEO
* In conjunction with the CEO ensure that all insurances for the
organisation are renewed in a timely manner

FUNDING

* The company is funded by way of capitation from the University. The
Financial Executive will be responsible as the overall relationship
management point with the University and will escalate any relevant
matters with the CEO as appropriate

PAYROLL AND REVENUE

* Manage payroll and reconcile salaries and wages across the
organisation, including adjustments for PRSA?s, Union Dues, TaxSaver
Schemes etc
* Prepare VAT returns and ensure compliance with all statutory
financial obligations and manage Revenue RTD
* Ensure that the Tax Clearance Certificate is kept up to date

AUDIT

* Manage the annual audit process in conjunction with the CEO and
appointed Company Auditor including scheduling the audit, ensuring
that the relevant information is available for the auditor, and
attending any meetings as required

FINANCIAL PLANNING AND OVERSIGHT

* Develop annual budgets, forecasts, cashflow projections and
business models as required in conjunction with the CEO.
* Assist in monitoring the cash flow of the organisation and
reporting to the CEO as necessary

GOVERNANCE

* Assist in the maintenance, review and updating of an Organisational
Risk Register
* Manage and maintain the Fixed Assets Register for the Company
* Provide administrative support to the Finance Audit and Risk
subcommittee of the board of TU Dublin SU CLG or other relevant
committees as required
* Ensure that all financial and accounting policies are applied
consistently across all areas of the organisation
* Review of business processes, increase efficiencies and implement
changes to processes, policies and internal controls as appropriate
* Develop and maintain a Financial policies and procedures manual.

MANAGEMENT AND ELECTED TEAMS SUPPORT

Support other managers and staff with the following:

* Identify and deliver improvements in financial and accounting
systems, processes and reporting
* Provide financial guidance, training and support to other
departments as necessary

REQUIREMENTS:

* 5+ years relevant financial executive experience (Accounting
technician minimum)
* Systems experience; accounting packages (SAGE **Apply on the
website**), Payroll (BrightPay), payment platforms (such as
EventBrite, Shopify, SumUp, ?), working knowledge of Microsoft
applications; excel is essential.
* Extensive experience of cross-departmental collaboration, internal
and external audit requirements, charity regulation, data protection
regulations, etc.
* Ability to interpret, analyse and summarise information. The
capacity to produce and present clear and accurate reports in a timely
fashion.
* Track record of improving accounting policies and processes in an
organisation.
* A proven track record of responsibility for the full finance
function of an organisation

DESIRABLE:

* Diploma in Financial Management NCEA certificate or equivalent
Relevant accounting qualification (CIMA or ACCA, ICAI) would be
desirable but not essential
* A proven willingness to carry out tasks as required and develop
additional skills
* Experience of working in a Students? Union environment would be
an advantage but not essential

* Strong administrative, numeric and analytical skills.
* Ability to deal with a high volume of transactions with experience
in reconciliations between accounts and other systems.
* Strong organisational skills and adaptability in a fast-paced
environment.
* Ability to multi- task and prioritise.
* Strong communication skills with the ability to work on your own
initiative and as part of a team.
* Have strong problem-solving skills with a capacity to solve
problems creatively
* Good people skills and a positive work attitude.
* Willingness to carry out tasks as required and develop additional
skills
* Strong team player with the ability work on own initiative
* Be a self-starter, hard-working, committed with the willingness to
learn and develop new ways of working/processes

KEY RELATIONSHIPS

The Board of Directors, the CEO, the Finance Audit and Risk
Subcommittee, the Management Team, Operations Exec, suppliers, Revenue
Commissioners, internal auditors, external auditors, University.
