Job Summary

Veritas is moving to a new Admin-as-a-Service model which has the
scope of creating a centralized, pooled resources to provide support
in the future to a defined population of leaders. As part of the new
operating model, Veritas is seeking a detail oriented, customer
focused, energetic Administrative Specialist to join our
Administrative Shared Service team. The Administrative Shared Service
team is key to supporting various Senior Leaders and business
operations across Veritas.

The successful candidate will have a collaborative and approachable
work style, be exceptionally well-organized with ability to multi-task
and prioritize, and possess executive facing written and verbal
communication skills. The role will report to the Administrative
Shared Services Manager.

Key

RESPONSIBILITIES:

Document and System Coordination

Data entry facilitation of contracts, SOWs, PRs, and POs, in alignment
with procurement policies.

Review invoices and input for receivables.

Coordination of presentation and presentation material.

Maintains documents, electronic and hard copy.

Acts as delegate for system reviews and approvals in Oracle, WD, VMS,
eTime, and Concur, in alignment with procurement policies.

Project and Customer Assistance

Coordinates project and customer meetings and engages internal
stakeholders for delivery, commitments, and deadlines. Receives,
consolidates and proofs project and customer presentations and
materials.

Meeting and Event Coordination

Coordinates meeting/event planning, facilities, agendas, and speakers.
Facilitate stakeholder reminders and action item follow ups. Books
internal venues and resources to support meeting and events

Coordinates complex international and domestic travel. Coordinates
itineraries with other Veritas participants. Ensures compliance to
Veritas travel policies. Business Coordination

Prepares and submits expense reports. Maintains office supplies and
submits supply orders. Contacts stakeholders to coordinate delivery of
research requests and briefing materials. Raises issues and schedules
recovery for IT or system related issues. Resource for and expert on
company processes, procedures, and policies. Awareness of client
personal conflicts and schedule.

UK (Arlington) site responsibilities

REQUIREMENTS:

Significant experience of high level, complex administrative work
experience including heavy calendaring, complex international travel
coordination, preferably within a high-tech environment. Understands
the intricacies of working in and supporting Executives in a product
and engineering environment. Power user of Microsoft Office suite:
Word, Excel, PowerPoint, as well as Microsoft Office.

_ABILITY TO_ effectively work in a fast-paced, matrix environment and
execute against multiple projects and deadlines, prioritizing and
re-prioritizing.

_ABILITY TO_ process highly confidential and critical information on a
routine basis with discretion.

Excellent communication skills - verbal and written involving
high-level communications with internal and external contacts. Highly
organized and self-motivated.

_ABILITY TO_ listen and simplify details depending upon target
audience.

Ability to influence others;
Manage conflict appropriately, know when to delegate issues upward.
Collaborates and brings a mindset of ultra-responsiveness with other
Administrative staff and others up, down and across the organization.
Demonstrated ability to take initiative, anticipate the needs of the
executive and their team and exercise independent, sound judgment.
Demonstrated passion for continuous learning, improvement, and sharing
best practices.
