Role Summary

Responsible to: Line responsibility - Sales Administration Manager

The Supply Chain Administrator would be dealing with purchase order
processing, will maintain communication with suppliers to ensure
timely deliveries of products. The role also involves managing stock
levels and rotation in warehouse, as well as managing non-conformities
on supplies. Maintaining and updating data as required on IT and CRM
systems. The Supply Chain Administrator will also be liaising with
Customer Service and Sales Managers on specific projects.

The duties involve compliance with applicable quality system
requirements, such as those of ISO**Apply on the website**, GMP, and

Responsibilities

Order Processing:

*

Purchase Order processing - place purchase orders with suppliers for
both stock and direct deliveries - arrange transport for ex works
orders. Ensuring supporting documentation such as Certs of Analysis,
SDS and specifications are in place.

*

Enter supplier and freight invoices in system for payment

*

Understanding customs and tariff regulations in relation to Third
country imports and ensuring compliance with the same.

Warehouse and Distribution:

*

Manage stockholding in conjunction with Product Managers and arrange
purchasing of replenishment stock

*

Regular stock checks and reconciliation of stock including management
of non- conforming stock and expiry dates

*

Manage and attend warehouse/customer/supplier and external audits

*

Manage compliance to quality standards, health and safety, and
responsible care requirements for Ireland

*

Checking and approval of warehouse/freight invoices and forwarding to
GB office for payment processing.

Stock Management:

*

Efficient Processing of inbound and outbound stock in conjunction with
procedures and continually improving performance levels.

*

Ensuring stock is reconciled in accordance with procedures, carrying
out stock checks, and providing documented evidence as requested,
management of damages, obsolete stock, and disposal.

*

Managing storage locations/volumes and segregation of stock in
accordance with product and business needs

*

Checking, coding, and approving freight and warehouse costs in line
with approval limits and contracted rates.

*

Identifying cost savings and managing service level improvements.

Quality Systems Management:

*

Implement continual improvement practices regarding order processing
and warehouse/ distribution services

*

Compliance with applicable quality system requirements such as those
of ISO**Apply on the website**, GMP+ and GDP as set forth in written
SOP&#**Apply on the website**;s

*

Complaint management

*

Ensure the recording and monitoring of costs of complaints via
warehouse/ distribution and work with all parties to reduce costs

*

Record and manage non-conformities.

Ad hoc projects as agreed:

*

Cover for Commercial Operations Coordinators during times of absence.

*

Meeting personal objectives and contributing to improved service
levels and business KPI&#**Apply on the website**;s

Requirements

An understanding and experience in Quality Systems

*

Familiarity with Order Processing

*

Tracking and Documentation Support

*

Experience with adherence to Stock Management

*

Knowledge of Importation of Products

*

A background in Logistics and Importation would be a bonus

*

Be confident in their ability to perform well independently and
parallel to the existing team members
