This role requires the ability to deal confidently and sensitively
with Rape Crisis Centre (DRCC) clients, participants on training
courses, visitors and dignitaries and on occasion distressed callers
along with the more practical aspects of working on a busy telephone
reception desk. You are the first point of contact and are expected to
portray a professional, courteous image on behalf of the DRCC.

You must possess a mixture of sensitivity, practical organisation
skills and the ability to relate to all personality types and deal
with prospective clients under, at times, stressful conditions.

YOU WILL BE RESPONSIBLE FOR (BUT NOT LIMITED TO)

* Ensuring the reception is open for business promptly from **Apply

* Ensuring the reception is adequately staffed at all times by
compiling a roster to cover, holidays, Saturdays, Sick Leave, Annual
Leave etc. coffee and lunch breaks.
* Ensuring the ?handover? of reception duties to colleagues for
breaks is competently managed and that they are apprised of all
visitors, appointments and actions that they must take following such
a handover.
* Ensuring the reception area is clean, looks professional and that
all marketing and support material is up to date and well stocked.
* Ensuring your immediate line manager and colleagues are made
aware, as soon as is practical, of your inability to carry out your
duties for whatever reason.
* Sick Leave/Annual leave procedures must be followed at all times.

DUTIES WILL CONSIST OF THE TASKS BELOW, BUT NOT LIMITED TO;

* Answering and logging all incoming calls.
* Managing electronic daily diary of all therapy appointments.
* Dealing with information queries including the logging and passing
on of messages to members of staff including therapists who maybe
otherwise be engaged.
* Providing electronic daily appointment status report to Head of
Clinical Services.
* Supporting the effective management of the 3CX Telephone system by
carrying out any duties assigned to you now or in the future.
* Dealing with all incoming and outgoing correspondence, post,
couriers, hand delivered items etc. as per the procedures already
established, to include GDPR rules and regulations
* Scheduling and the preparation of meeting spaces, to facilitate
meetings as required.
* Booking of external meeting rooms and catering if required.
* Monitoring and processing of stationery orders and house
maintenance requests.
* Dealing with call-ins to the Centre seeking counselling advice.
* Any other duties that your immediate line manager feels
appropriate to your role and skillset when required.

YOU ARE EXPECTED TO

* act in a professional manner at all times ensuring client / visitor
confidentiality.
* be punctual, ready to start your role at the appointed time, on
arrival to the office or returning from necessary breaks.
* be a team player and assist in whatever capacity that your
immediate line manager or senior member of the management team request
you to do.
