OFFICE MANAGER

Mercy International Association (MIA) serves groups of Sisters of
Mercy together with their

Associates and partners in Ministry from all over the world in working
towards a more just and compassionate world.

TITLE OF POSITION:? Office Manager

HOURS OF WORK:? This is a full-time office based position located at
Mercy International Centre, **Apply on the website**a Lower Baggot
Street, Dublin.? MIA adheres to all government COVID restrictions and
staff may work remotely until restrictions are lifted.? Reasonable
flexibility is expected.

WORKING RELATIONSHIPS: ?The post holder will develop and maintain
positive, professional relationships with colleagues, and all whom
they are in contact with via email, phone, and in-person. The post
holder will be expected to work both independently and
collaboratively. Additionally, MIA has an office in New York, USA.
Collaboration with the NYC staff outside of standard working hours is
occasionally necessary to accommodate time zone differences.??

POSITION OVERVIEW:? This position is responsible for the smooth
running of the MIA offices at Baggot Street.? The post holder will
work directly with the Chief Executive Officer and the Executive
Leadership Team.? This is a new position and will have responsibility
for the management of a small number of administrative staff.?

KEY RESPONSIBILITIES:?

* Manage the activities and workload of administrative team.
* Coordinate the staff calendar between offices in Dublin and New
York.
* Be Responsible for office and personnel management including
maintaining Human Resources files and records, coordinating annual
leave and other absences, and distributing HR policies.
* Ensure understanding of Health and Safety guidelines and schedule
staff in-services as necessary,
* Be Responsible for the organisation of meetings, and any follow up
activities that may be required.
* Coordinate travel arrangements for staff, board, and members as
required including visas, currency exchange, and international travel
requirements.
* Update and maintain digital filing systems including Google and
computer hard drives.
* Organize and update databases including donor and Sisters of Mercy
international register.
* Coordinate hospitality efforts including gifts for speakers, thank
you cards, etc.
* Communicate with programme participants and assist with
arrangements as necessary.
* Provide secretarial and administrative support to the Chief
Executive Officer and the Executive Leadership Team as required.
* From time to time may be required to assist with the processing of
invoices, receipts and bookkeeping duties.?
* All members of staff are expected to support the day-to-day
activities of Mercy International Centre as required

EXPERIENCE AND SKILLS REQUIRED:

* At least 3 years relevant experience working in a similar office
management role.
* Excellent range of IT skills including Google Drive and Zoom.
* Experience with database management.
* Very strong organisational, time management, people management,
analytical and problemsolving skills.
* Working knowledge of GDPR and good HR practices would be an
advantage.?
* Ability to work independently and as part of a team.
* Ability to communicate information clearly and concisely.
* Must be flexible with the ability to multitask.
* Be confident working under pressure while managing a competing and
demanding workload.
* Ability to develop strong relationships with visitors and
colleagues.
* Cultural awareness and sensitivity.?
