ADMINISTRATION & FINANCE OFFICER

?JOB DESCRIPTION

JOB TITLE: Administration & Finance Officer

REPORTING TO: Finance Manager
CONTRACT TERM: Permanent, Full time

JOB SUMMARY: Responsible for the administration of professional
membership applications, maintenance of individual membership records,
finance administration and processing of IACP Garda Vetting.

DUTIES & RESPONSIBILITIES:

General Admin

* Maintain the weekly & monthly membership statistics
* Process applications for Student & Pre-Accredited membership
* Process applications for inactive membership
* Maintain accurate member details on the database and make
necessary changes to members' contacts details and qualificationsas
required
* Provide helpful and timely advice and guidance to potential
Student & Pre-Accredited memberson membership issues
* To assist the Complaints Administrator with any scanning, printing
or filing required.
* To ensure that membership procedures are correctly followed and
updated as necessary in order to meet requirements

Finance Admin

* Generate invoices and receipts for members
* Dealing with members email queries in relation to payments or
changing member categories / applying for membership
* Review Committee Members expense forms
* Process? membership? renewal? payments on Salesforce (these
payments are mainly received in December through March)
* Process Credit Card payments for Members via Worldpay virtual
portal as required
* Liaise with Finance Manager, Member Care and Accreditation
Department as necessary to ensure that membership applications and
initial payments are processed and updated on a regular basis and that
unpaid members? fees are pursued.

Garda Vetting Admin

* Liaison with the National Vetting Bureau
* Administration of IACP Garda Vetting and processing of
applications (e-vetting)
* Administration of Garda Vetting Appeals process
* Providing? helpful, accurate and prompt advice and guidance to
existing & potential members on membership issues and Garda Vetting in
line with the IACP Garda Vetting Policy

Other duties

* Provide administrative support to the organisation
* Attendance at staff meetings
* Undertake any other duties necessary to this post as delegated by
the CEO / Line Manager

PERSON SPECIFICATION

Essential Requirements:

* A background in office administration of at least 2 years
* Strong knowledge of MS Office (Outlook, Word and Excel used daily)
* Strong written and verbal communication skills
* Ability to support both internal and external stakeholders through
accurate reporting
* Strong organisational skills with a problem-solving attitude
* Attention to detail and an ability to work to tight deadlines

Desirable Requirements:

* Experience working with ?Salesforce? or another CRM system
* Some bookkeeping experience
* Knowledge of Garda Vetting procedures

REMUNERATION AND CONDITIONS:

The starting salary for this role is between ?**Apply on the

on the website** and will be commensurate with experience. The person
will be based in IACP?s Head Office in Dun Laoghaire, although
initially will be required to work some days remotely. Some travel may
be required to attend? events and meetings.
