Executive Assistant
JOB PURPOSE: This is an important role for the department providing
high quality administration support to the team, work permit
assistance for MedTech clients, CRM updates and data for the IDA
planning team; as well as support preparing itineraries and assisting
with events, material preparation. KEY RESPONSIBILITIES:
* To provide high quality and efficient administration support to the
MedTech team, to include: managing incoming phone, email and written
correspondence, invoices/PO?s, handling event logistics,
co-ordinating meetings and office diaries etc.
* To support the Divisional and Department Managers in the
co-ordination of activities to progress key strategic initiatives.
* To update the Customer Relationship Management System and other
management information tools as requested
* To work with MedTech Executives and Department Manager to collate
key performance metrics and compile weekly, monthly, quarterly and
annual reports on progress towards target for IDA Leadership.
* To support the collation of annual client development portfolio
data and presentation materials.
* Assist with the preparation of client itineraries and prepare
PowerPoint / other presentation materials as needed.
* To assist the MedTech Department with drafting letters of support
for IDA clients requesting Trusted Partner status, and Work Permits.
* To help prepare high quality marketing material; and support
MedTech social media initiatives.
* Administration support and diary management for the Life Sciences
Divisional Manager.
* Update internal tools such as Athena (IDA intranet) and IDA
databases.
* To ensure that continuous learning and development is undertaken
through informal and formal learning and participation in the
Performance Management and Development Review Process.
* To ensure that IDA?s values of People, Professionalism, Passion
for Performance and Public Service are always upheld.
* To demonstrate flexibility in undertaking additional tasks as may
be assigned.

REQUIREMENTS
* An in-depth knowledge of standard computer packages, proficiency in
the use of Outlook, Word, Excel and PowerPoint are essential together
with the ability to use social media platforms;
* Ability to work well under pressure and as part of a global team;
* A relevant third level qualification is desired (eg. Certificate/
Diploma in Business or Marketing);
* Aspects of this role will require travel and working outside of
normal office hours.
