The Dublin Well Woman Centre (DWWC) is a leading provider of women?s
sexual and reproductive health care, delivering healthcare and

This is an opportunity to play a pivotal role in shaping the
organisation?s ongoing delivery of gold-standard Early Medical
Abortion services. As part of the administration team, in a ?hands
on? role you will be responsible for liaising with patients and
referring GPs, for all of the administrative functions necessary to
underpin effective service delivery, for preparation of monthly
statutory and claims statistics, and for qualitative analysis and
progressing patient advocacy initiatives.

of a landmark women?s health service.

JOB TITLE:

EMA Patient Services Co-Ordinator

REPORTING TO:

Primary day-to-day reporting is to the Operations Manager
+ to the Finance Manager in respect of preparation of monthly PCRS
claims
+ to the Chief Executive and Medical Director in respect of
preparation of qualitative and trends-monitoring statistics

OVERALL PURPOSE OF THE JOB:

To ensure that women presenting to the DWWC for Early Medical
Abortions receive services provided with a high standard of excellence
and compassion. You will engage in patient advocacy, and will be a
calm, professional and articulate source of information not only to
women, but for GPs and other healthcare professionals who may wish to
refer patients to the DWWC.

You will be responsible for ensuring all necessary administrative and
operational ? both paper-based and IT - systems are in place in the
clinics to support the delivery of the service. You will be
responsible for preparing draft **Apply on the website**-day statutory
reports to the Minister for Health, and for preparation of the draft
monthly PCRS claims data, and for preparing other statistics or
reports, in line with legislative and contractual requirements.

You will work with the management team on the ongoing development,
promotion, administration and continuing improvement of Early Medical
Abortion services in the DWWC.

KEY RESPONSIBILITIES OF THE EMA PATIENT SERVICES CO-ORDINATOR:

* Serve as a key point of information for general enquiries about EMA
service provision in the DWWC across the three Dublin Well Woman
clinics
* Ensure all necessary administrative systems are in place, and
maintained in each clinic location, to enable effective EMA service
delivery at clinic level ? this will include ensuring paper forms
are available, stock ordering and controls, preparing visit packs,
uploading documents to Helix Practice Manager, liaising with our IT
providers on report generation
* Ensure that the Procedural Manual is kept up-to-date.
* Responsible for inputting the PCRS claims, preparation of draft
monthly PCRS claims and reconciliation of claims (to agreed deadlines)
to be signed off by Finance Manager.
* Responsible for preparation of **Apply on the website**-day
reports to the Minister for Health on activity levels, for sign-off by
(the Chief Executive and Medical Director)
* Stock ordering, stock administration and stock control of EMA
related medication
* You will be a point of communication between the DWWC and
ultrasound providers, arranging or confirming appointments for DWWC
patients, chasing up ultrasound results and ensuring these are
available to the referring Clinic Doctor
* Follow-up with patients regarding post abortion check-ups and
after-abortion counselling services
* Preparing contract updates for the HSE (signed off by the Chief
Executive/ Medical Director)
* After becoming familiar with all aspects of service
administration, you will engage with women?s and community groups,
student?s unions and other stakeholders to raise awareness of the
DWWC?s EMA service.
* You will liaise with the Head of Counselling Services and members
of the counselling team regarding women?s access to counselling, and
facilitating clear pathways to counselling appointments linked to EMA
* Follow-up with the hospitals (including the labs), arranging and
confirming Visit 2 appointments, rhesus related testing, results and
appointments etc.
* Assist with social media activity around EMA provision
* Attend and / or report to meetings of the Management Team,
preparing briefing documents, trends analysis, etc. as needed.
* Recommend and develop effective process improvements, in
consultation with the Operations Manager, regarding EMA service
delivery
* Assist management in building a statistical profile of service
users, to enable the DWWC to feed into the **Apply on the website**
review, including weekly, monthly and quarterly reports
* Once-off projects as may be identified and agreed.

EXPERIENCE & SKILLS

_EDUCATION AND EXPERIENCE PROFILE:_

* Must have a minimum of three years of administrative experience
* As minimum, a primary degree in a related field will be beneficial
* Strong knowledge of MS Office suite
* Excellent Excel and report-writing skills are essential
* Ability to work as part of a team to achieve set goals and provide
excellent client service.
* An awareness that the DWWC, though functioning in the social
economy, nonetheless must run as a not-for-profit business, with
appropriate policies and protocols
* Familiarity with healthcare policy approaches to abortion
services, and the advocacy background to the issue in Irish life is
beneficial

TERMS AND CONDITIONS

based across the three clinics and the Head Office of the Dublin Well
Woman Centre.

2-year fixed-term contract, with 6-month probation period (which may
be extended).
