We are currently seeking highly-motivated ADMINISTRATOR, GRADE IV to
join our team in the Administration Department, Enable Ireland Cork
Services, Curaheen, Cork

CONTRACT TYPE: Specified Purpose Contract.
CONTRACT HOURS: FULL-TIME **APPLY ON THE WEBSITE** HOURS

OVERVIEW OF THE POST:

To provide a wide range of administration supports across the
functions of HR, Reception, IT and general administration.

KEY DUTIES AND RESPONSIBILITIES INCLUDE (BUT NOT LIMITED TO):

OPERATIONAL SUPPORT:

* Implement and monitor administrative systems in line with current
best practice.
* Establish and maintain efficient office practices as to support
the efficient workings of the Administration Department.
* Collect and collate all service related information/data as
requested by the Administration Manager.
* Assist with the production of reports, business cases and
submissions as required by the Administration Manager.
* To support and lead on project work as required.
* Stationery ordering and management.
* Provide effective administrative support and services to the
Administration Manager, departments and teams working within Enable
Ireland Service as required.
* Facilitate the implementation of Enable Ireland policies,
procedures and protocols.
* Contribute to and support the development of the local
administration service.

HUMAN RESOURCES SUPPORT:

* Updating and maintaining Employee database (People XD.)
* Support the recruitment and selection process to ensure timely
recruitment to local vacancies.
* Ensure best practice in all aspects of recruitment and selection
in line with Enable Ireland?s policies.
* Ensure all necessary documentation and checks are completed and in
place prior to commencement of employment of new hires.
* Support the payroll function ensuring accurate and timely returns
of employee data to head office and carry out payroll costings and
monthly payroll analysis in consultation with Accountant and
Administration Manager.
* Support the annual budgetary process under the direction of the
Accountant and the Administration Manager.
* Facilitate and support the development and delivery of aspects of
employee induction programmes.
* Collation of sickness absence reports in conjunction with line
managers and Administration Manager and produce reports as required.
* Monitor Probationary Periods of new hires.
* Maintenance of local personnel files.
* Liaise with national HR personnel as relevant.
* Provide general HR support as required.

RECEPTION SUPPORT:

* Provide reception/switchboard cover as required.
* Ongoing review and update of reception procedures as required.
* Assist with the deployment and management of the relief reception
panel.

I.T. SUPPORT:

* Provide guidance and support locally in relation to IT systems.
* Provide support with set-up of IT requirements for new hires.
* Update and maintain local IT inventories as required.
* Liaise with IT nationally as required and escalate unresolved I.T.
issues.

TRAINING:

* To participate in job specific training including:

* Induction Training
* Manual Handling Training
* Recruitment & Selection Training
* Health & Safety Training
* HIQA/Statutory requirements as appropriate
* Other mandatory training programmes

* Tracking and monitoring of department mandatory training records.
* Facilitation of training to local managers and staff on People XD.
* Support the national approach to training and assist with the
process of identifying in-house requirements and facilitation where
requested.

THE SUCCESSFUL CANDIDATE WILL HAVE

_ESSENTIAL CRITERIA:_

* Administration/business/HR qualification
* A minimum of four years recent relevant experience working in a
similar type role.
* Experience of reception duties/customer services.
* Experience of working with HR/Client database.

_DESIRABLE CRITERIA:_

* Hold a CIPD recognised qualification to diploma/degree level in
Human Resources.
* Accounts payable experience
* Experience of working in a health care setting.
* ECDL
