The Sanctuary: Personal Assistant to Managing Director


ROLE DESCRIPTION

The role of the Personal Assistant to the Managing Director is to
plan, organise and manage the day-to-day operational workings for the
office of the Managing Director of the Sanctuary. A key component of
the role is to provide Administrative Support and manage
communications for the Managing Director. The Personal Assistant will
also have responsibility for drafting and preparing minutes and
managing scheduling and organization of the Managing Director?s
diary. The Personal Assistant will work closely with and is
accountable to the Managing Director.

ROLE: PART-TIME (APPROX. **APPLY ON THE WEBSITE**HOURS/ 3 DAYS PER
WEEK)

RESPONSIBILITIES

* Plan, Organise, Direct and Manage Operations of the Office of the
Managing Director
* Draft Communications
* Assist in Research and Development
* Some Basic Marketing
* Work alongside the Operations Manager in the organisation of key
talks and events such as the Annual Dawn Chorus, October Meditation
Challenge, Waiting for the Light and any other Sanctuary talks and
events
* Co-ordinate and oversee the administration of board and all
subcommittee meetings
* Work closely with the rest of the Management Team
* Assisting with the Monthly Financial Management Accounts
* Assisting with other duties as may be assigned

SKILLS / KEY ATTRIBUTES

* Problem Solving?? adapting to the ever changing environment and
reacting quickly to meet challenges.
* Initiative?? The ability to work alone and take a lead when
hurdles arise or when tasks require completion.
* Knowledge of Facebook, Instagram, LinkedIn
* IT?? keeping up to date with IT systems in the workplace (Keap
CRM) while having an understanding of emerging technologies.
* In depth knowledge of MS Office suite, PPt, WD, Excel and overview
of I.T. requirements for small business management - i.e. social
media, website, customer database, Dropbox
* Team working?? fostering an environment of teamwork to ensure
that all programs are delivered on time and program objectives are
met.

COMPETENCIES

* Ability to initiate change in order to make things happen for the
betterment of the Sanctuary
* Strong attention to detail and highly organised
* Good numeracy skills , basic grasp of accounting principles and
packages
* Strong team player with experience in managing and motivating
staff
* Ability to work independently but can build relationships with
internal and external stakeholders
* Self-motivated, positive and driven
* Ability to multi-task and self-manage
* Excellent written and verbal communication skills including the
ability to present information engagingly to a variety of audiences
