Cork Stroke Support (CSS) is a registered charity (CHY **Apply on the

Finbarr?s Hospital to address the information, exercise & support
needs of stroke survivors and families following discharge from
hospital.

The Cork Stroke Support Centre was opened in Oct **Apply on the
website**, providing a referral pathway and facilitating an expanding
programme of activities. We now require an administrator to support
this service.

LOCATION: BLACKROCK, CORK.

REPORTING TO:?CHAIRPERSON.

ROLE

ADMINISTRATION -?KEY RESPONSIBILITIES:

* Dealing with new referrals, making follow-up phone calls and
scheduling appointments
* Processing of membership requests and renewals.
* Obtaining consent and inputting into the database for volunteers
and stroke survivor members.
* Linking in with Counselling Service on behalf of stroke survivors
who require counselling.
* Importing names and data from excel for the mail chimp journey.
* Administering stroke exercise programmes by post to members
* Maintaining and updating on attendance records.
* Creating posters and posts on social media.
* Updating the schedule of upcoming events and timetables for stroke
survivor events for the CSS website.
* Assisting with editing and production of newsletter and liaising
with printers/designers and
* preparing the data upload for the printer to post.
* Sending out annual member surveys by email/post and collating the
results.
* Signposting resources -maintaining a register and updating of
signposting agencies and associated resources for stroke services.
* Assisting programme Managers with timetabling and scheduling of
events.
* Attending key meetings to note-take and distribute to relevant
personnel as requested.
* Working with designers and printers to ensure work creating any
new online and/or printed resources keeps moving and is completed in a
timely fashion.
* Checking the stroke email inbox and directing emails to the
appropriate?Person.
* Covering CSSC reception and phone and responding to queries from
stroke survivors and families.
* Maintaining and updating Cork Stroke Support website.
* Researching and assisting with grant applications.
* Assisting in Fundraising efforts.

FACILITIES - KEY RESPONSIBILITIES:

* Assisting with room set-up in accordance with planned activity.
* Managing external service contracts including waste collection,
fire safety and alarm monitoring.
* Ordering and maintaining stock supplies to meet office, cleaning
and catering requirements.
* Responsible for ensuring all required building maintenance is
carried out in a timely manner.
* Overseeing, cleaning and maintenance of the CSS centre.
* Co-ordinating activities based on staff and volunteers
availability.
* Managing budgets and ensuring cost-effectiveness for Cork Stroke
Support Centre.
* Allocating and managing use of space in the building.
* Ensuring that facilities meet government regulations and
environmental, health and safety
* standards including Garda vetting of volunteers.
* Overseeing renovations and building projects.

FINANCE - KEY RESPONSIBILITIES:

* Managing and accounting for all petty cash
* Receiving membership fees, providing receipts and lodging money.
* Ensuring invoices are filed and paid in a timely manner.
* Sourcing quotes for required services.
* Recording of hours worked and holidays accrued for all staff.
* Recording of volunteer hours.
* Managing utility payments etc.

HEALTH & SAFETY - KEY RESPONSIBILITIES:

* Assisting with records of accidents or near-miss incidents.
* Booking the required training for staff and volunteers in relation
to fire safety, manual handling and CSSC procedures.
* Implementing CSSC procedures in relation to health & safety and
building management.
* Ensuring records are kept of all attendees and visitors for
contact tracing.

QUALIFICATIONS REQUIRED

* Previous administration experience required
* Experience of working in a charity environment.
* Strong knowledge of Charirty Regulator requirements and Charity
Governance.
* Strong Knowledge of GDPR Requirements as it relates to a Charity
Environment.
* Strong knowledge of Microsoft? Windows Operating Systems (Windows
**Apply on the website**) Word, Excel, PowerPoint and Access.
* Pleasant demeanor and person-centered approach.
* Strong Knowledge of stroke and needs of stroke survivors and
families.
* Strong problem-solving skills are required with an ability to
analyse scenarios to develop the most appropriate solution.
* Excellent communication and interpersonal skills are essential
* Excellent organizational and prioritization skills
* Ability to work well under pressure, multi-task and meet deadlines
* Ability to work well both independently and in a team environment
* Ability and flexibility to perform all other job-related and
ad-hoc duties as required
* Ability to project manage and organise various events
