The International League Against Epilepsy (ILAE) is a non-profit

professionals working in the field of epileptology. As part of our
mission to improve care and treatment, advocate for equal
opportunities and facilitate research, ILAE organizes three to four
large conferences (congresses) per year to support knowledge exchange
between health professionals and promote the voices of people with
epilepsy.

ILAE?s Congress Office in Dublin is seeking a Programme Manager to
support the effective delivery of regional/international congresses.
Under the direction of the Congress Director, this full-time position
will lead on the congress programme development and work
collaboratively with the team on logistics.

_ESSENTIAL_

* Right to work in EU
* Fluent spoken and written English
* 2 years of experience planning and delivering conferences or
similar events (particularly medical-oriented events)
_or_
4 years of transferable experience
* Understanding of and empathy with the organization?s aims and
values
* A collaborative attitude
* Excellent IT skills with a particular emphasis on event planning
tools, Microsoft Office (Excel, Word, PowerPoint, Outlook) and video
conferencing
* Experience of working to a budget
* Ability to present

_DESIRABLE_

* Level 8 QQI qualification
* Ability to work in an international, fast-paced environment with
people from many cultures, ages, backgrounds, nationalities, and
perspectives
* Developing and maintaining external partnerships
* In-depth knowledge and experience of both large and small-scale
event planning, with considerable experience in a relevant role
* Experience of training and presenting event planning information
to new staff/colleagues across a range of knowledge levels
* Ability to identify and manage risk with established framework
* Advanced level proficiency in Spanish or French

We are seeking someone who works well independently but is also
team-oriented. Flexibility, attention to detail, and critical thinking
are highly valued. This position will be a mix of office-based*
(Dublin) and remote working.

a return to office_

DUTIES AND RESPONSIBILITIES

ILAE CONGRESSES

* Facilitate planning of regional/international congresses **Apply on
the website** years in advance

* Setting key dates (registration, abstracts, etc)
* Inviting members of the Scientific & Organising Committee (SOC)
and arranging first meeting/s
* Initial desk research into potential congress locations and
venues; site inspections, venue negotiations and reporting
* Selecting platform for virtual congress attendance

* Programme Composition

* Inviting topic/session proposals
* Working with congress chairs and SOC to compose the programme
* Inviting chairs/speakers/replacements and communicating supports
* Tracking programme changes
* Coordinating abstract and bursary processes with team
* Planning for Welcome Ceremony and Awards Ceremony

* Registration

* Working with registration team to register SOC, speakers, chairs,
bursary recipients, etc
* Aligning registration deadlines with other congress deadline
* Arranging congress badges/lanyards
* Arranging on-site registration presence
* Setting up evaluation form for delegates

* Website

* Working with Digital & Design team to put together the official
congress website and all information needed
* Setting schedule of website updates to align with deadlines and
promotion

* Marketing/Promotion

* Working with team to design/deliver marketing/promotion plan
* Arranging assets/information for promotion of congress
* Producing regular newsletters

* Other

* Applying for Continuing Medical Education accreditation
* Publication of Abstracts

* On-Site Delivery

* Travelling to congress location for F2F congresses
* Preparing for the arrival of rest of team and start of congress
* Overseeing delivery of all congress activity together with the
Congress Director
* Liaising with congress chairs, session chairs, speakers, business
meeting organizers and other stakeholders

ADDITIONAL DUTIES

* Training and onboarding new staff in the programme department
* Other duties may be required under the direction of the Congress
Director and/or Executive Director
