JOB PURPOSE

The Senior Grants Officer reports to the SEC Manager and is
responsible for the overall management of the annual grantmaking
programme from planning to delivery. In conjunction with the SEC
Manager, the Senior Grants Officer will assess the effectiveness of
the grant process on an ongoing basis and propose appropriate changes
to operating procedures and systems where necessary.

The appointee will oversee the team of seasonal grant staff, ensuring
they are adequately resourced with the appropriate knowledge and
support for the delivery of successful grant cycle, and will work as
part of the team to administer the annual grant application process.

PRINCIPAL ACCOUNTABILITIES

GRANT PLANNING AND REVIEW

* Set up annual process and associated timelines
* Arrange and deliver team planning for the annual programme rollout
* Ensure smooth running of the application process
* Advise the SEC Manager on progress, challenges, and proposed
solution
* Review the process following the close of the application year
* Implement any process improvements and/or changes to the grant
programme
* Quality control management

GRANTS MANAGEMENT

* Manage the season grants team.
* Processing and means testing of applications in line with the
rules and regulations of the grant scheme
* Notification to applicants of application outcomes
* Communication with applicants over phone and email
* Case management of referred applicants.
* Set process goals for the grants team
* Maintenance and storage of grant application records
* Implementation of data protection policies, data retention
schedule and overseeing the secure destruction of documentation

STAFF MANAGEMENT

* Support the SEC Manager with the recruitment of the seasonal grant
team
* Act as an escalation point for grants officers
* Provide training as needed
* Manage team schedule, time off and rosters
* Ensure staff are operating in an effective and efficient manner

GRANT PAYMENTS

* Running appropriate reports to enable the SEC Manager to make
payments to schools.
* Support month end procedures as required
* Support the SEC Manager in the preparation of grant materials as
required for annual audit and preparation of annual report

STAKEHOLDER MANAGEMENT

* Support the SEC Manager in communication and engagement with SEC
stakeholders.
* Liaison with schools regarding the verification of payments to
individual grant recipients attending each school
* Ensuring all communications are dealt with in the appropriately
sensitive and confidential manner

AD HOC

* Support as requested by the SEC Manager on projects/tasks as and
when required
* To act as deputy SEC Manager in the absence of the SEC Manager

KNOWLEDGE, SKILLS AND EXPERIENCE

ESSENTIAL:

* 5+ years of experience working in a similar capacity:
administrative, accounts /finance/banking or similar field
* Level 8 qualification or equivalent
* Experience in coordinating a small team
* Excellent understanding of IT systems including knowledge of
Microsoft Office suite
* High level of accuracy and attention to detail
* Ability to multi task and work to tight deadlines
* Excellent communication and interpersonal skills
* Experience in working in an environment dealing with confidential
documentation and information
* Excellent communication skills and the ability to deal with a
diverse group of stakeholders

DESIRABLE:

* Experience or Qualification in Project Management
* Understanding of project planning and project management
principles
* experience with project management tools an advantage
* Familiarity with public sector benefits.
